Proctoring at VIT

Proctoring is a service by a faculty member to mentor undergraduate students joined at VIT. Proctor is the faculty advisor of students to guide them on academic, extracurricular activities, and metal health. It's a combination of parenting and teaching.

Proctees/students are going through

(i)              Time~ courses, assignments, projects

(ii)            Moral life

(iii)          Imbalance life

(iv)           Emotional dissolution

(v)             Too many ‘masters’

Proctors on the other hand:

(i)              Role model

(ii)            Focus on assessments

(iii)          Focus on intelligence

(iv)           Sense of duty/good citizen

(v)             Teamwork

(vi)           No Excuses

Proctor is a neutral person, one who monitors and approves to handle a set of students. Proctor works with students to actively engage to solve their problems, guide them both academic and non-academic matters for the entire four year of study.

 

 

Basics of proctors:

(i)              Listen- must be an active listener

(ii)            Trust-build trust so that student can talk freely and everything

(iii)          Values

(iv)           Motivational---must motivate the students

Role of proctors:

(i)        Advisor to the student----provide academic and non-academic advice for overall development of student

(ii)            Established

(iii)          Acts as friend, coach, mentor

(iv)           Collaborate with parents

(v)             Typically filled the gap of the parent on campus.

Structure:

Assistant Director, Student Welfare > School proctor co-ordinator (except SAS as of now)

                                                                       Proctor > 20-25 students

Proctors action:

# VIT monitors student progress at closer level

# Closer interaction with student for academic guidance and counselling

# VIT Chennai organizes official proctors’ day once/twice every semester before assessment test

# 3 minimum meetings required between proctor and proctees in every semester before exams.

# Online access and database through VTOP. Keep records and meeting minutes at the dashboard.

# Call parents and tell them about the progress of students.  Verify/Inform them about students' travel plans.

 

Point of contacts:

             If students have any doubt on following things proctors can direct them/can contact for them

(i)              HOD/Dean:  If Procter and proctess are from different schools then procter can advise students to contact HOD for course related issues.

(ii)            Warden for hostel related issues

(iii)          Counselor for mentally depressed student

(iv)           Finance officer for finance related issue

(v)             Bonafede certificate~ Dean, Admin office through proctor

(vi)           Class teaching issue- ask student to talk with course instructor for any doubt related to particle course

(vii)         PAT office- Placement and internship related issue

(viii)         Parents must inform if students are attending workshop outside or going home/holiday

Case studies:

            Speaker discussed different case studies based on students’ incidents/situations and proctors need to respond/handle the situation.
