A general introduction was given. Dr. D. Vydeki completed B.E. degree from GCE Tirunelveli with specialization in ECE, P.G. degree in Communication system and Ph.D.in Network security. She has 18 years of teaching/research experience. Prior to joining VIT she was working with Easwari Engg college, Saveetha college of Engg. From 2016, she has been associated with VIT. Also, she is a active member of the following

Ø  Hackathons and Makethons are organized at VIT in school wise, research group wise and club wise.

Ø  TechnoVIT (SENSE & SELECT), Qupid (SCOPE), and SPLASH are the few techno fest organised in VIT.

Ø  Thon event timing range from 8 hrs to 24 hrs.

Ø  For 24 hr event, both gender faculty have to stay at night till the completion of thon event

Ø  One of the faculty coordinator should be available throughout the event

Ø  There are Technical society, cultural club, technical club available.

Ø  IoT makethon 4.0 was fully sponsored by tata communications with a challenge or problem statement defined by them

Ø  Similarly, IoT makethon 5.0 was sponsored by nokia solution.

Ø  Thon’s help students to collaborate with industry with a defined problem statement

Ø  The best performing team moves to the next level like publishing, product development and patenting

A survey had been conducted among the newly joined faculty members. The purpose is to see if any such events are conducted by them earlier.

 

Set of protocols followed in organizing any thon events

1.      Melite Approval- Apply in Melite for conducting the Hackathan/Makethons

ü  Go to ‘Seminars and guest lectures’ in Melite portal http://melite.vit.ac.in

ü  Fill the credit details of the two faculties involved with the events

ü  Update the date and check its availability

ü  Resource persons details, honorarium, and memento need to be filled

ü  Once done filling, save file name without space and special characters

ü  Submit and get approval from concerned authority dean/research dean/ Pro VC

2.      CTS – Contact CTS (Chennai.cts@vit.ac.in) and request for the following

ü  poster display for publicising

ü  digital marketing via intranet

ü  internet (WiFi) access to event participants

3.      Budget planning-Estimate the amount for prize money, registration fee, refreshments, transport arrangements, food arrangements, starter kit etc including GST

4.      Accounts section- Along with approval document, write mail (Chennai.accounts@vit.ac.in) to accounts session for procuring advance amount. A separate bank account to be created for the event through which money transactions happen. Plan for digital payment for registration and cash prize.

5.      Purchase section- Any memento, starters kit, or prizes must be submitted to purchase section one week prior to event.

6.      Guest accommodation- A request need to send to director student welfare by mail for guest accommodation/food if needed.

7.      Housekeeping- Takes care of refreshments and maintain cleanliness of the event venue.

8.      Electrical supplies- Contact electrical supply group to arrange for additional extension boards, fans, circuit kits etc.

9.      Hostel arrangements- Intimate to hostel authority regarding number of hostellers participating in the event.

10.  Student coordinators- A student’s volunteer team is formed. They are assigned to different tasks such as transport/refreshment/ organisation/ event poster/ media publicity.

11.  Post event- The winner are made sure they receive the cash prize promised. Convenor prepares a detailed report and uploads in Melite. Explore opportunities to the students for internship as a motivation factor.

Outcomes-Faculty

v  Administrative and organising experience-From the amount of creativity the students put, we can learn more technically from them.

v  Crisis management- We should learn to have a strategy of crisis management delayed budget approval and so on.

v  Team spirit-We can build a good team spirit with colleagues and students

v  Visibility-Students come and approach on events in technical domain.

Outcomes-Student participation

v  The events give a platform to exhibit their talents, skills and potential.

v  Provide an opportunity for the student to work as a team with common goal.

v  The student gains experience in time management.

v  There are high chances for students to attain internships in industries

v  Heavy prize money is offered to attract the innovation skills in them

Last but not the least, Get involved and Be a part of Hackathon/Makeathon. Organise many such interesting event and get visible.
